Success for Clay Shaw Butler staff

Two members of staff at Carmarthen-based accountants Clay Shaw Butler are celebrating new qualifications.
Eirian Davies and Rhian Prescott have both qualified as Accounting Technicians. Both are now Members of the Association of Accounting Technicians, MAAT.
Eirian achieved this with a young family and home study while running the Clay Shaw Butler Payroll Bureau. Rhian attended day release at Coleg Sir Gar and has now started studying as a Chartered Certified Accountant.

Tax event due on November 19

The following Tax Events are due on 19 November 2011:
PAYE, Student loan and CIS deductions are due for the month to 5th November 2011
What this means for you?
This deadline is relevant to employers who have made PAYE deductions from their employees salaries and to contractors who have paid subcontractors under the CIS. The contractors monthly return showing details of payments made to subcontractors must also be filed even if this is a nil return
Employers are required to make payment to HMRC of the income tax, national insurance and student loan deductions. Contractors are required to make payment to HMRC of the tax deductions made from subcontractors under the CIS.
Where the payment is made electronically the deadline for receipt of cleared payment is 22nd November 2011. Penalties may apply if payment is made late.

The following Tax Events are due on 02 November 2011:
Deadline for submitting P46(car) for employees whose car/fuel benefits changed during the quarter to 5th October 2011
What this means for you?
This deadline is relevant to employers who provide any employees with the use of a car. The form P46 (car) only needs to be completed where a car is first provided or an additional car is provided, or an employee ceases to have the use of a car without replacement. The completion of the form enables HMRC to amend the individuals coding notice to reflect the change in benefit.
Where one car is merely replaced with another, this may be reported online.

Tax events due on October 19

The following Tax Events are due on 19 October 2011:
PAYE quarterly payments are due for small employers for the pay periods 6th July 2011 to 5th October 2011.
What this means for you?
This deadline is relevant to small employers only. As a small employer with income tax, national insurance and student loan deductions of less than £1,500 a month you are required to make payment to HMRC of the income tax, national insurance and student loan deductions on a quarterly basis.
Where the payment is made electronically the deadline for receipt of cleared payment is 21st October 2011. Penalties may apply if payment is made late.

What this means for you?
This deadline is relevant for employers who have entered into a PAYE settlement agreement to pay tax and national insurance in respect of benefits in kind for their employees for the year ended 5th April 2011.
Where the payment is made electronically the deadline for cleared receipt of cleared payment is 21st October 2011.

The following Tax Events are due on 31 October 2011:
Deadline for submission of 2010/11 self assessment returns if you require HMRC to compute your tax liability and/or if tax underpaid is to be collected by adjustment to your 2012/13 PAYE code
What this means for you?
This deadline is relevant for those individuals who complete a paper self assessment tax return and who are employees. Where you have an underpayment of up to £2,000 only, you may request that HMRC collect any tax outstanding by making an adjustment to your tax code for the year 2012/13.
Deadline for submitting 'paper' 2010/11 self assessment returns
What this means for you?
This deadline is relevant to individuals who need to complete a self assessment tax return for 2010/11 and wish to file the return in a paper form. Self assessment returns submitted after this date must be submitted electronically.

There was a bubbly surprise for Carmarthenshire businesswoman Natalie Jones when she attended a business seminar in Carmarthen.
Natalie was the winner of a bottle of Moet & Chandon in a competition organised by seminar organisers Clay Shaw Butler, chartered accountants and business consultants.
Natalaie was at the seminar representing the new Llety Cynin leisure club and conference centre near St Clears.

Clay Shaw Butler business seminar a big success

The spotlight was put on the latest developments in the world of business at a special seminar staged in Carmarthen.
The event was organised by Clay Shaw Butler, chartered accountants and business consultants of Carmarthen and Porthcawl.
“There was an excellent turnout, with a range of different business represented and the topics covered were very informative,” said Clay Shaw Butler consultant Ann Thomas.
One section of the seminar focussed on the latest changes to the Sage accounting software, a package which provides valuable support to many businesses.
Ann said: “We talked about the features of the new Sage upgrade released last month. The release makes many of the routine tasks easier and quicker to do while adding useful new features to improve the effectiveness of the software.
“Installation of the software has been made a lot easier with hardware checks and registration now being part and parcel of the quick set up. This includes networking your Sage onto more than one PC if you need to. The 2012 version also has a quick support homepage which has all the information you need on the technical details of your software in one place.
“The Chart of Accounts function, which helps you set out the format for your monthly management accounts, is user friendly with a preview window now on screen for you to see what any changes you are making will look like straight away. This screen will also show you how taxation is dealt with within Sage, using specific new nominal codes.
“Part of the new software now has the ability to give access to permitted users to view and enter data onto the system via their iPhones or Blackberry.
“It gives flexibility to users and management alike in that they do not need to be in the office now to access the accounts data.
“It will benefit the owner-managed businesses whom have to contend with the ever-changing world of business and to monitor their financials in real time, wherever they are.

The seminar was held at the Cothi Suite at the Halliwell Centre at the University of Wales Trinity St David in Carmarthen.
Chris Ellis, of One Life Financial Planning, talked about current and imminent changes in pensions and NEST (National Employment Savings Trust). NEST is a straightforward workplace pension scheme for employers to use for their UK based workers. It means that employers can provide a workplace pension scheme for all of their workers, including those who may not have had access to a pension arrangement before. NEST also makes it easy for employers to meet the new legal duties that start to be introduced in 2012.
Finally, Donna Purchase, of Red Kite Law discussed the ever-changing world of employment law and, in particular, the changes for employers.

Latest 'Looking After Business' column from the Journal

It’s usually one of the topics guaranteed to crop up in any business networking event, or even in a casual conversation down the local pub.
You get fixed with a cold stare – and then the question comes: “Now then, David, good boy, tell me what you know about VAT?”
Of course, I could probably talk for Wales on the subject.
But, space in the Carmarthen Journal being at a premium, I will try and be brief . . .
VAT (Value Added Tax) is a tax chargeable on taxable supplies and services made by taxable persons and businesses. Output VAT is charged on applicable sales and Input VAT is reclaimable on applicable purchases. The net amount when one is taken away from the other is the amount payable to/repayable from H M Revenue and Customs.
Who should register for VAT?
You have to register if your turnover is more than £73,000 for last 12 months or next 30 days. H M Revenue and Customs need to be told within 30 days of this threshold being reached. Voluntary registration can also be done if taxable supplies are being made which are mainly zero rated, while input VAT is being suffered on costs borne. A repayment of VAT can then follow.
VAT rates:
  • Different rates are applied to different supplies and the rules are strict. All supplies will fall under one of the following rates :-
  • Standard rate: 20% All supplies not listed under the other categories.
  • Reduced rate: 5% Supplies such as domestic heating, some building conversions etc.
  • Zero rated 0% Supplies such as most foods, books etc.
  • Exempt: Supplies do not attract VAT and there is a definitive list available of applicable items
  • Outside the scope: Do not fall under any VAT rule such as dividends and salaries
What records should you keep?
VAT registered entities need to keep supporting documentation for all VAT returns submitted for at least six years, ready to satisfy any H M Revenue and Customs investigation visit which may occur. Records will include invoice/payments listings and invoices/credit notes which contain at least the minimum information as required by H M Revenue and Customs. A list of the minimum requirements of your invoices can be supplied if required.

Tax event due on October 5

The following Tax Events are due on 05 October 2011:
Deadline for notifying HMRC of new sources of taxable income or gains for 2010/11 if no tax return has been issued.
What this means for you?
This deadline is relevant to individuals who have not received a self assessment tax return for the year ended 5th April 2011 but who believe they have received income or capital gains which will result in a tax liability. Individuals must notify HMRC of their liability so that a self assessment return can be issued in good time for the submission deadline of 31st January 2012.

VAT Reclaim deadline for submission of all claims to European VAT authorities for the calendar year 2010.
What this means for you?
This deadline is relevant to those wishing to make a VAT reclaim for VAT incurred in other EC member states for the calendar year 2010.

When you are faced with the sometimes bewildering array of accounting software packages available for computers, the temptation may be to close your eyes and pick the first one off the shelf.
Here are some tips for making your mind up –
What are your requirements for the software?
For example, if you need a system to replace your basic book-keeping function of cashbook and simple receipts and payments reconciliations then a basic package will suffice. Should you need highly sophisticated stock control, reporting, e-commerce functions etc, then more complex packages will be required.
What are your plans for the future?
Consider the next 12-24 months and whether there will be rapid expansion in the business.
What market sector are you in?
There may be specialist packages which can specifically help run businesses in your industry more efficiently and effectively.
What is your budget for the cost?
Although this should not be your primary reason for choosing a package it has to be part of the decision.
What training will you need?
The skills of present staff members and potential new employees need to be considered.
What hardware and software do you have presently?
Accounting packages, like all software, have minimum hardware requirements. You may need to invest in upgrading current equipment to ensure the system can run the package properly.
What is your plan for implementation?
Installing a new accounting package needs to be planned in detail in order for the minimum disruption to occur to your routine business transactions.

Date for second £100 tax penalty looming

The following Tax Events are due on 31 July 2011:
Second £100 penalty if 2009/10 tax return due by 31st January 2011 still outstanding
What this means for you?
This deadline is relevant to individuals who need to complete a self assessment tax return and make direct payments to HMRC in respect of their income tax, Class 4 NI and any capital gains tax liabilities. There is an additional penalty imposed on 31st July 2011 if your return for 2009/10, which was due for submission by 31st January 2011, has still not been submitted.
Second payment on account 2010/11 due. Second 5% surcharge on any 2009/10 outstanding tax due on 31st January 2011 still remaining unpaid.
What this means for you?
The balance of any outstanding income tax, Class 4 NI and capital gains tax for the year ended 5th April 2010 was due for payment by 31st January 2011. Where any of the liability is still outstanding a 5% surcharge will be added to the outstanding liability. Interest is charged on any late payments.
The second payment on account in respect of income tax and any Class 4 NI is also due for payment by 31st July 2011.

Clay Shaw Butler helps GO Wales project


A leading Carmarthenshire business is helping to pave the way in building links with education.
Chartered accountants and business consultants Clay Shaw Butler have signed up for the innovative GO Wales project, which makes it possible for students and graduates to develop their careers through quality work experience and training opportunities.
“GO Wales is an exciting project and one which should interest any business keen to develop young talent,” said Clay Shaw Butler director David Butler.
This summer, the team at Clay Shaw Butler has been joined by 19-year-old Gareth Thomas (pictured above), who lives in Carmarthen and studied at Ysgol Gyfun Gymraeg Bro Myrddin.
The 12-week placement is a big stepping stone for Gareth to going to Cardiff University to study Business Management and Finance.
“I am interested in a career in business and finance, so the GO Wales placement with Clay Shaw Butler has been ideal. It has given me a taste of the ‘real world’ work environment and the encouragement to go on and achieve my degree,” Gareth said.
A keen sportsman who plays cricket for Carmarthen Wanderers Cricket Club’s first XI and is also a member of Carmarthen Golf Club, Gareth has enjoyed working alongside Clay Shaw Butler’s business consultant, Nigel Roberts.
Gareth added: “I have carried out a wide range of duties during my stay at Clay Shaw Butler and I have also been working towards the City & Guilds Professional Development Award. This award is an accredited, professionally-recognised qualification that is equivalent to a Higher Professional Diploma.”
Mr Roberts said: “It has been a delight to have Gareth as part of the team at Clay Shaw Butler during his placement. All businesses are aware of the need to build our skills base and ensure that we grow the knowledge economy in Wales. The GO Wales scheme is one way of helping to achieve those objectives.”

Tax event due on July 5 - PAYE


The following Tax Events are due on 05 July 2011: 
Deadline for reaching a PAYE Settlement Agreement for 2010/11 
What this means for you?
This deadline is relevant for employers who wish to pay the tax and NI on benefits provided to their employees. Agreement must be reached with HMRC of the benefits and related liabilities which are not to be shown on the forms P11D by this date.

Tax events due on July 6


The following Tax Events are due on 06 July 2011: 
Deadline for employers to report share incentives (Form 42) for 2010/11 
What this means for you?
This deadline is relevant for companies who have either received a notice to complete a form 42 or who have reportable events for the tax year 2010/11. 
Deadline for forms P11D, P9D and P11D(b) for 2010/11 to be submitted to HMRC and copies to be issued to employees concerned 
What this means for you?
This deadline is relevant to employers. Details of benefits and expenses provided to employees must be reported to HMRC on the relevant forms P11D. The P11D(b) form is used to calculate the employer only class 1A NI liability.

Clay Shaw Butler back Carmarthenshire Warriors

The Carmarthenshire Warriors invitation sevens rugby team has a new backer in the shape of West Wales chartered accountants and business consultants Clay Shaw Butler.
The team proudly sported their new Clay Shaw Butler tops at the West Country Sevens at Keynsham RFC.
The event saw the Warriors make it through to their fifth final in five tournaments.
“We are delighted to be playing our part in supporting the Warriors,” said Clay Shaw Butler director David Butler.
“Sevens rugby is a sport with a massive future - in fact, it will feature in the 2016 Olympic Games in Rio de Janeiro.”
At the West Country Sevens, skipper Arwel Davies took a strong squad to what was the second Super Sevens Series round of 2011. The Warriors also entered their development side, the Flamingos, in the Men's Open competition
The Warriors coasted through the group phase with wins over the Mavericks, Olurun Phantoms and PA Trust. Andrew Jones (Newcastle Emlyn) and Wil Davies (Whitland) made their 2011 debuts with Jones crossing for a try against the Phantoms.
The Flamingos - featuring newcomers Ifan Beynon (Aberystwyth) and Johnny Morgan (Narberth) were impressive in appalling weather conditions against the military side PWRR, bristling with South Sea Islanders.
Rhys Goslin, Paul Mason (Carmarthen Athletic) and Lee Pearson, scoring his first try for the Carmarthenshire outfit, assisted in the 33-0 rout.
Another victory against Eggcatchers but a defeat to Glantaf Goats sent the Flamingoes into the Bowl competition where they unfortunately crashed out 33-0 to the Stash Sharks.
Again, veterans Barry John and Jamie Williams (both Carmarthen Athletic) led by example alongside promising Llandovery College youngsters Jack Thorburn and Scott Maynard.
The Warriors progressed to a semi final against strongly fancied side P.O.D, overcoming the Godfathers in the quarter final.
The semi proved to be a classic taken to 'Golden Try' extra time following a fantastic solo effort by Rhys Lewis.
With just a few minutes of added time played, former Ystradgynlais and now Carmarthen Quins scrum half Ryan Jones fed Ystalyfera's Gareth James who broke down the left and crossed in the corner and seal another major final appearance for the Warriors.
Unfortunately, the Smith's Shotguns were too strong for the West Wales outfit outscoring them by 5 tries to two.

Tax event due on March 19


The following Tax Events are due on 19 March 2011:
PAYE, Student loan and CIS deductions are due for the month to 5th March 2011
What this means for you?
This deadline is relevant to employers who have made PAYE deductions from their employees' salaries and to contractors who have paid subcontractors under the CIS. The contractors' monthly return showing details of payments made to subcontractors must also be filed by today.
Employers are required to make payment to HMRC of the income tax, national insurance and student loan deductions. Contractors are required to make payment to HMRC of the tax deductions made from subcontractors under the CIS.
Where the payment is made electronically the deadline for receipt of payment is 22nd March 2011 Penalties may apply if payment is made late.

Jennifer qualifies with Clay Shaw Butler


Jennifer Bowen has qualified as a Certified Chartered Accountant with leading West Wales accountants and business consultants Clay Shaw Butler.
The qualification is further evidence of Clay Shaw Butler’s commitment to training and developing staff members.
Jennifer, who lives in Whitland and is married with a young daughter, was educated at Whitland Primary School and Ysgol Dyffryn Taf.
She joined Clay Shaw Butler in 2007 as an accounts trainee studying towards the Chartered Certified qualification.
Clay Shaw Butler is accredited as a Platinum status Training Office with the Association of Chartered Certified Accountants. There are currently three trainees working towards the qualification with Clay Shaw Butler. In addition, there are two trainees working towards the Association of Accounting Technician qualification.
Clay Shaw Butler director David Butler said: “I am extremely pleased to welcome Jennifer into the Practice as a newly-qualified accountant. We have Investors in People status and we will continue to invest in the development of Clay Shaw Butler team members.”
